The brief
Greenzone Academy provides home and online tutoring across four quite different tracks: special needs support for children with autism or ADHD, after-school tutoring, home-based education, and international exam preparation for IGCSE, GCSE and A-Level. Each track needs different information from a parent before a tutor can sensibly be matched.
Run by hand, that means every enquiry arrives as a phone call or message with none of the detail the academy needs, and staff spend the first conversation collecting basics instead of assessing the child. The academy needed the intake itself to do that work.
The brief was a system that captures the right information up front, keeps enrolments and tutor assignments in one place, and presents the academy to parents as the established operation it is.
What we built
Service-routed pre-assessment
A parent selects the kind of support their child needs and is taken to the pre-assessment form built for that track. A special needs enquiry asks different questions from an A-Level enquiry, so the academy receives answers it can actually match a tutor against rather than a generic contact form.
Tutor matching and enrolment records
Enquiries, assessments and tutor assignments are held together, so staff can see where a family is in the process without going back through message threads.
Staff dashboard
A password-protected area where the team manages enquiries, learners and tutor allocation directly, without needing us to make changes for them.
Online assessment quizzes
Learners preparing for external examinations sit standardized tests through the site, giving the academy and parents a consistent progress measure between school assessments.
Parent-facing site with live chat
Service pages, an FAQ and testimonials from existing families, with a live chat channel so a parent who is deciding can reach the team while they are still on the page.
How we worked
Delivered against a fixed scope with review points at design and staging. The team was trained on the dashboard at handover and manages enrolments and tutor assignments themselves.
